Images can be added into a spreadsheet by

  • Inserting an image file directly
  • From a graphics program,
  • With the help of a clipboard or
  • From the gallery.

We will discuss each one of them in detail.
Open “Personal-Finance-Tracker.ods” Let us open our “Personal-Finance-Tracker.ods” spreadsheet.
Select sheet 2. First, let us select sheet 2.

We will insert images in this sheet.

It is a good practice to select a cell and then insert pictures.
Click on “Insert” >> select “Picture” >> click on “From File”. If an image is already stored on your computer, you can insert it by first clicking on “Insert

and then “Picture” and selecting “From File”.

Go To Desktop

Click on the “Images” folder >> Point to the images.

Next click on “Image1”file.

Now locate the image you want to insert.

I have already stored some images on the Desktop in a folder named “Images”.

So, I will choose “Image1”.

Point to the “Location” field and the filename.

Click on Open button

We will see the name of the image in the “Location” field .

Click on the “Open” button

Point to the image inserted in the file. Observe that the image appears in the spreadsheet. <pause>

Let us insert another picture by Linking it.
Select a new cell. Ensure that the cell you select is not next to image 1 or it will overlap.

Click on “Insert” >> select “Picture” >> click on “From File”. <<Select another image not the roses image>>

First let us select a new cell.

Now, let’s click on “Insert” and “Picture” and select “From File”. Let us select another image.

Click on “Image 2” Now click on “Image 2”.
Put a check on “Link” option

click “Open”

To link the image to your document, check the “Link”option and click “Open”.
In the dialog box that appears >> click on “Keep Link” button.

<Pause for 2 secs>

In the dialog box that appears, click on “Keep Link” button.

Linking

  • Reduces the size of the spreadsheet when it is saved
  • Since our spreadsheet does not contain the image
  • Enables the user to modify both the files separately
  • Any changes made to the image file
  • Will be reflected in the linked image
  • In the spreadsheet
Linking

When we link a file:

  • First, it reduces the size of the spreadsheet when it is saved
  • Since our spreadsheet does not contain the image.
  • Second, it enables the user to modify both the files separately.
  • Any changes made to the image file,
  • Will be reflected in the linked image
  • In the spreadsheet.

Disadvantage of linking

  • Whenever you want to send this spreadsheet to a different computer or user,
  • You will have to send both,

the spreadsheet as well as the image file

  • Have to keep track of the stored location

However, one major Disadvantage of linking the file is that

  • Whenever you want to send this spreadsheet to a different computer or user,
  • You will have to send both, the spreadsheet as well as the image file.
  • Which means, you will always have to keep track of the location where you are storing both the files.
Move this image to the right of the spreadsheet Let’s move this image to the right of the spreadsheet
Switch to the Ubuntu Desktop >> Double-click on the “Images” folder >> click on “Image 3” file. <pause>

Another method of inserting images into a spreadsheet is by dragging it from its folder

where you have stored the image and dropping it on your spreadsheet.

Let us drag and drop an image.
Drag and drop “Image 3” into the spreadsheet on the left side. Now drag and drop the image file directly into your spreadsheet wherever you want to place it.
Point to the image in the spreadsheet.

Press CTRL and Z.

You will see that the image gets inserted into your document.

Let’s undo this change by pressing CTRL and Z.

Click on the image in the folder again.

Press and hold “Control +Shift” while dragging the image to the spreadsheet.

Now let us link the image using the drag and drop method.

This is easy too!

Just press and hold the “Control” and “Shift” keys

while dragging the image into the spreadsheet.

Point to the “Image 3”. The image file is now linked to the document.
Press CTRL and S keys together.

Click Close button to close the Calc file.

Let’s save this Calc file by pressing CTRL and S keys together.

Now let’s close this file.

Open the folder “Images” on the Desktop. Now let’s go to the folder where the image is located.
Rename the image “Image 3.jpg” as “Image4.jpg”. Let’s rename the image “Image 3.jpg”, that we inserted in the file to “Image4.jpg”.
Open “Personal Finance Tracker.ods” Now open the “Personal Finance Tracker.ods” file again.
Point to the blank area where the image is disappeared. You can see that the linked image is no longer visible!

The linked path shows an error!

Delete the link from the document. Let us delete this link.
