00:01 | Welcome to the spoken tutorial on Using Find, Replace and Autocorrect in Writer. |
00:09 | In this tutorial, we will learn to use: |
00:13 | Find and Replace |
00:15 | Spell check and |
00:18 | Autocorrect features |
00:21 | This tutorial is recorded using |
00:24 | Ubuntu Linux OS version 18.04 and
LibreOffice Suite version 6.3.5 |
00:34 | Let us start by learning to use the Find and Replace feature in Writer. |
00:40 | With this feature, we can search for a particular text
and/or replace it in the entire document. |
00:50 | Let us understand this through an example. |
00:54 | Open the file “Resume.odt” which we have created earlier. |
01:00 | This file has been provided to you in the Code files link on this tutorial page. |
01:06 | Please download and extract the file. |
01:10 | Make a copy and then use it for practising. |
01:15 | Before we proceed with the tutorial, let’s first delete some unwanted pages which were created earlier. |
01:23 | In our Resume file, go to the fourth page. |
01:27 | Select the lines “This is the fourth page” by dragging the cursor along the text. |
01:33 | Then press the Backspace key twice. |
01:37 | The 4th page is deleted and is no longer seen. |
01:42 | Now repeat the same steps to delete the third page also. |
01:48 | We have only 2 pages in this document now. |
01:52 | Let’s place the cursor on the first page of the document, before the word Resume. |
01:59 | First let us learn how to find a word or text in the document. |
02:05 | For an example, we will search for the word Ramesh in our Writer document. |
02:11 | At the bottom left, we can see the Search bar. |
02:15 | If it is not visible, then go to the View menu and select Toolbars. |
02:21 | From the sub-menu check the Find option, if unchecked. |
02:27 | The Search bar will become visible. |
02:31 | Type Ramesh in the Find field and press Enter. |
02:36 | The word Ramesh gets highlighted. |
02:39 | Let’s place the cursor before the word Resume. |
02:44 | Press Ctrl + F keys to go directly to the Find field. |
02:49 | Now type NAME in the Find field and press Enter. |
02:54 | This searches for the word NAME in the entire document. |
02:59 | The first instance of the word NAME gets highlighted. |
03:04 | Next to the Find field, we can see Find Previous and Find Next icons. |
03:11 | Click on these icons to find other occurrences of the word NAME in the document. |
03:18 | To search NAME in the entire document, click on the Find All option. |
03:24 | Notice that all the instances of the word NAME get highlighted in the entire document. |
03:31 | To navigate between the pages while searching, use the Previous page and Next page icons. |
03:38 | Now, click anywhere in the document to deselect the highlighted words. |
03:44 | Next, let’s learn about the Find and Replace option. |
03:49 | By using this feature, we can easily replace the search word with a new one. |
03:55 | Let’s replace the word page on page 2. |
03:59 | We can see the Find & Replace icon in the Standard toolbar. |
04:04 | Alternatively, click on the Edit menu in the menu bar and then on the Find & Replace option. |
04:12 | Either ways the Find & Replace dialog box opens up. |
04:17 | In the Find field, type the text that you wish to find and replace. |
04:22 | By default, the earlier search word NAME is visible here. |
04:28 | Delete the word NAME and type the word page in the Find field. |
04:34 | In the Replace field, type the text that you want to replace with. |
04:39 | I want to replace the word page with sheet in my document. |
04:44 | So, I’ll type sheet in the Replace field. |
04:49 | Now, click on the Replace All button. |
04:53 | A message is displayed Search key replaced 3 times. |
04:59 | And then click on the Close button |
05:03 | On page 2 we see that all occurrences of the word page get replaced with sheet |
05:10 | Press Ctrl + H keys to open the Find & Replace dialog box once again. |
05:16 | In the dialog box, we can see the Other options section. |
05:22 | Click on the arrow icon before Other options, to expand the section if not visible. |
05:29 | The Other option section contains a list of specific Find & Replace options. |
05:35 | Replace Backwards option searches for the text from bottom to top. |
05:41 | Current selection only searches for the text inside the selected portion of the document. |
05:47 | It has other advanced options like Regular expressions and Similarity search. |
05:53 | There are three more buttons at the bottom of the dialog box. |
05:57 | They are Attributes, Format and No Format. |
06:03 | All of these provide us with various types of advanced Find & Replace options. |
06:09 | You can explore and learn more about them on your own later. |
06:14 | Click on the Close button at bottom right corner to close this dialog box. |
06:20 | After learning about Find and Replace, we will now learn how to use Spellcheck. |
06:26 | Spellcheck is used for checking spelling mistakes in a document. |
06:31 | The Spell Check feature is distinct for each language. |
06:36 | Click on the Tools menu in the menu bar and then click on Options. |
06:42 | In the Options dialog-box, go to the left side section. |
06:47 | Click on the arrow icon before the Language Settings to expand it.
Now click on Languages. |
06:56 | In the field User interface, click on the drop-down and select Default - English (USA). |
07:04 | In the Locale setting, click on the drop-down and select English (India) if not already selected. |
07:12 | Now go to the Default Languages for Documents section. |
07:17 | In the Western field, click on the drop-down and select English (India). |
07:24 | Finally, click on the Apply button at the bottom of the dialog box.
And then click on the OK button. |
07:34 | Let us now see how the spell check features works for the language - English India. |
07:40 | To use the Spelling and Grammar option, go to Tools in the menu bar.
And confirm that the Automatic Spell checking option is checked. |
07:51 | If not, then click on Automatic Spell checking to check it. |
07:57 | Now keep the cursor next to the word HOUSEWIFE and press the Spacebar. |
08:03 | Then type HUSEWIFE and press the Spacebar once. |
08:09 | We see that a curly red line appears just below the incorrect word. |
08:15 | We can also see the curly red lines below the names.
This is because Indian names are not a part of the LibreOffice Writer’s inbuilt dictionary. |
08:26 | Now place the cursor on the word HUSEWIFE. |
08:30 | Then click on the Check spelling icon in the Standard toolbar. |
08:35 | The Spelling dialog box opens. |
08:38 | Under Not in dictionary, the incorrect word is highlighted in red color. |
08:44 | And the suggestions for correct words are shown in the Suggestions box. |
08:49 | In the Suggestions box, first click on the word HOUSEWIFE.
Then click on the Correct button. |
08:57 | In some cases, a Confirmation pop-up window may appear. |
09:02 | It says “Continue checking at the beginning of the document ?
Click on the No button. |
09:10 | Now click on the Close button to close the Spelling dialog box. |
09:15 | We see that the correct spelling has now been replaced. |
09:19 | Press Ctrl+Z keys until the newly added word HOUSEWIFE gets deleted. |
09:26 | Next, we will learn about the AutoCorrect feature. |
09:31 | The AutoCorrect feature is an extension of Spellcheck. |
09:35 | Let me demonstrate how to use the Autocorrect feature. |
09:39 | Go to the Tools menu and select AutoCorrect. |
09:43 | From the sub-menu select the AutoCorrection Options. |
09:48 | The AutoCorrect dialog box opens. |
09:51 | The AutoCorrect feature automatically corrects the text as we type. |
09:56 | The corrections are made according to the options we select in the Options tab. |
10:02 | There are several AutoCorrect options here like- |
10:06 | Delete spaces and tabs at beginning and end of paragraph |
10:12 | Ignore double spaces |
10:15 | Close the Autocorrect dialog box by clicking on the X icon. |
10:20 | Let us see how these work through an example. |
10:24 | In our Resume file, move the cursor below the word Hobbies and press Enter twice |
10:31 | Now type This is the Spoken Tutorial Project with single, double and triple spaces between words. |
10:40 | Go to the Tools menu and select Auto Correct.
From the sub-menu select the AutoCorrection Options. |
10:49 | Under the Options tab put a check on Ignore double spaces. |
10:54 | And click on the OK button at the bottom right corner. |
10:58 | In the new line, type This is the Spoken Tutorial Project with double and triple spaces between words. |
11:06 | I will type, This is the and press the Spacebar twice. |
11:11 | Notice that, Writer does not allow us to add double or more spaces. |
11:17 | Complete typing the sentence. |
11:20 | AutoCorrect feature can also be used to replace long text with an abbreviation. |
11:27 | It saves typing effort by creating shortcuts to long words. |
11:31 | We have used a few words repeatedly in our document. |
11:36 | With shortcuts, we can avoid typing these words again and again. |
11:42 | Keep the cursor next to the word tutorial and press Enter. |
11:47 | Now type This is the Spoken Tutorial Project repeatedly in our document, say 2 times. |
11:55 | To avoid repeated typing, we can create an abbreviation. |
12:00 | This will directly get converted into the required text. |
12:05 | Now I will demonstrate how abbreviation stp converts to Spoken Tutorial Project. |
12:13 | Go to the Tools menu and select Auto Correct.
From the sub-menu select the AutoCorrection Options. |
12:22 | AutoCorrect dialog-box opens up. Click on the Replace tab. |
12:27 | Under Replacement and exceptions for language select English India from the drop-down list. |
12:34 | Type stp in the Replace field. |
12:38 | In the With field, type Spoken Tutorial Project. |
12:43 | Then click on the New button on the right. |
12:47 | We see that the entry is made in the replacement table. |
12:52 | Click on the OK button at the bottom right. |
12:56 | Now, type the text “This is the stp” in a new line and press the Spacebar. |
13:03 | Immediately the stp abbreviation gets converted to the words Spoken Tutorial Project. |
13:10 | This feature is very helpful when the same text is repeated several times in a document. |
13:17 | Save the changes and close the file. |
13:20 | This brings us to the end of this spoken tutorial.
