TIME | NARRATION |
00:01 | Welcome to the spoken tutorial on Inserting Images and inbuilt Graphics in a spreadsheet. |
00:09 | In this tutorial, we will learn to:
Insert an image into a spreadsheet and Format the image |
00:19 | This tutorial is recorded using
Ubuntu Linux OS version 18.04 and LibreOffice Suite version 6.3.5 |
00:33 | Images can be added into a spreadsheet
Directly from a graphics program or With the help of a clipboard or From the Calc gallery |
00:45 | We will discuss each one of them in detail. |
00:49 | Let us open our Personal Finance Tracker dot ods file. |
00:55 | This file and images have been provided to you in the Code files link on this tutorial page |
01:02 | Please download and extract the files to a folder on your Desktop |
01:08 | Make its copy and use it for practising |
01:13 | It is a good practice to select a cell and then insert an image.
Let’s click on cell C2. |
01:23 | Now, click on the Insert Image icon in the Standard toolbar. |
01:29 | Alternatively, you can click on the Insert menu in the menu bar.
And then click on the Image option. |
01:38 | Either ways the Insert Image dialog box opens. |
01:43 | Now locate the image that you want to insert on your computer. |
01:48 | I have saved some images on my Desktop in a folder named Images. |
01:54 | These images are available in the Code files link below the player, as mentioned earlier. |
02:01 | I will choose Image1 from my computer. |
02:05 | Then click on the Open button at the top right corner. |
02:11 | Observe that the image is displayed in the spreadsheet. |
02:16 | But, the image is covering up some of the data.
So we have to resize the image. |
02:24 | When the image is selected, we see handles around it. |
02:29 | Click and drag any of the corner handles to resize the image proportionally. |
02:35 | Now let’s move the image. |
02:38 | Place the cursor on any one of the borders till the cursor turns into a hand. |
02:44 | Click and move the image to the desired location and then release the mouse button. |
02:50 | Now, we can see our data and the image clearly. |
02:55 | When the image is selected, the Formatting toolbar shows options related to image only. |
03:02 | We will learn more about these options later in this tutorial. |
03:07 | To exit the Image edit mode, click anywhere outside the image. |
03:12 | Let us insert another image by hyperlinking it. |
03:17 | For this part of the demonstration, we will work on Sheet 2.
So, click on the Sheet 2 tab at the bottom. |
03:27 | In Sheet 2, we will select cell A2. |
03:31 | Then click on the Insert Image icon in the Standard toolbar. |
03:36 | Insert Image dialog box opens up. |
03:40 | This time I will choose Image2 from my computer. |
03:45 | Locate the image that you want to insert on your computer. |
03:50 | To link the image to the spreadsheet, check the Insert as Link checkbox at the bottom left. |
03:57 | Then click on the Open button at the top right corner. |
04:02 | The Confirm Linked Graphic dialog box appears. |
04:06 | Check the option Ask when linking the graphic if not already checked by default. |
04:13 | Then click on the Keep Link button. |
04:17 | The image is now hyperlinked to this spreadsheet. |
04:21 | When we link an image:
First, it reduces the size of the spreadsheet as our spreadsheet does not contain the image. |
04:30 | Second, it enables the user to modify both the files separately. |
04:36 | Changes made to the image file are reflected in the linked image in the spreadsheet. |
04:43 | Let's save and close our spreadsheet now. |
04:48 | Go to the folder where all the images are saved. |
04:52 | Rename Image2 as Image2 hyphen old and rename Image3 file as Image2. |
05:05 | Let us open our Personal Finance Tracker dot ods file once again. |
05:12 | Notice that Image2 in the spreadsheet has now changed. |
05:17 | However, one major disadvantage of hyperlinking a file is that |
05:22 | Whenever you want to send this spreadsheet to a different computer or user |
05:28 | You will have to send both the spreadsheet as well as the image file. |
05:33 | Which means, you have to keep track of the location where you are saving both the files. |
05:40 | Next, let’s learn another method of inserting images into a spreadsheet. |
05:46 | This is done by dragging and dropping the image from its saved folder location. |
05:52 | Go to the folder where all the images are saved. |
05:57 | Now drag-and-drop Image2 hyphen old directly into the spreadsheet wherever you want to place it. |
06:06 | I will place it in this empty space. |
06:10 | The image gets inserted into our spreadsheet. |
06:14 | Let’s undo this change. |
06:17 | Next let us hyperlink the same image using the drag-and-drop method.
This method is easy too! |
06:26 | Go to the folder where all images are saved. |
06:30 | Hold the Control and Shift keys together and then click on Image2-old.
Now drag the image onto the spreadsheet. |
06:42 | The image is now hyperlinked to this spreadsheet. |
06:46 | Save and close the spreadsheet now. |
06:49 | Once again go to the folder where all the images are saved.
Let’s rename the file Image2 hyphen old as Image4. |
07:03 | Now re-open the Personal Finance Tracker.ods file again. |
07:09 | The hyperlinked image is no longer visible in the spreadsheet. |
07:14 | The hyperlinked path shows an error! |
07:18 | So, let’s delete this hyperlink. |
07:22 | To do so, click on the hyperlinked path shown as an error.
This will select the missing image. |
07:30 | Now press the Delete key on the keyboard.
The missing hyperlinked image is deleted. |
07:38 | Next we will learn how to insert images from the clipboard. |
07:43 | We can copy images stored on the clipboard, from one spreadsheet to another. |
07:50 | Let's open a new spreadsheet, which will be our target file. |
07:55 | We already have images in Personal Finance Tracker dot ods.
This spreadsheet is our source file. |
08:04 | Now select Image2 from the source file which is to be copied. |
08:09 | Press CTRL and C keys together to copy the image. |
08:14 | The image is now saved on the computer’s clipboard. |
08:18 | Now switch to the target document, which is Untitled 1. |
08:23 | Select the location where you wish to place the saved image in Untitled 1. |
08:29 | Now press CTRL and V keys together to insert the image into the spreadsheet. |
08:36 | The image is inserted into our target file. |
08:40 | Close the Untitled 1 document without saving it. |
08:45 | Next let us explore the other options available in the Picture toolbar. |
08:51 | For this part of the demonstration we will work on Sheet 1.
Click on the Sheet 1 tab at the bottom. |
09:00 | Now let’s click on Image1. |
09:04 | The Formatting toolbar changes to the Picture toolbar. |
09:09 | Here, we see various tool icons to edit an image. |
09:14 | If you have resized your LibreOffice window, some of the icons may not be visible. |
09:20 | In that case, click on the double arrow icon at the end of the toolbar to see the hidden icons. |
09:28 | Click on the drop-down of the Filter option. |
09:32 | From the pop-up menu, let’s click on the Charcoal Sketch option.
Observe the change in Image1. |
09:41 | Next let’s see how to crop this image.
Make sure that the image is selected. |
09:49 | Now click on the Crop image icon in the Picture toolbar. |
09:54 | We see blue colored handles appear around the image. |
09:59 | Click and drag any one of the handles, as shown. |
10:04 | Then click anywhere outside the image to exit from the Image editing mode. |
10:10 | The image gets cropped as per our selection. |
10:14 | There are other options on the Picture toolbar which you can explore on your own later. |
10:21 | Now we will learn how to insert images directly from the Calc Gallery. |
10:27 | Gallery has images as well as sounds which we can insert in our spreadsheet.
Let’s see how to do this. |
10:37 | Click on the Insert menu in the menu bar. |
10:40 | From the sub-menu go to the Media option and click on Gallery to open it. |
10:47 | Alternately, click on the Gallery icon on the Sidebar which is at extreme right.
This opens the Gallery section. |
10:57 | We can see various folders which have inbuilt images which we can use. |
11:04 | Select the Finance folder by clicking on it. |
11:08 | Then drag-and-drop the image ATM01 into the spreadsheet. |
11:15 | We see that the image gets inserted into our Personal Finance Tracker dot ods file.
Likewise you can insert and format any image in your spreadsheet. |
11:28 | We don’t need the ATM01 image anymore, so we will delete it. |
11:35 | Then close the Gallery section by clicking on the X icon besides Gallery. |
11:42 | Lastly save and close the file. |
11:47 | This brings us to the end of this tutorial, let us summarize. |
