Hello and welcome to this spoken tutorial on Setting Preferences in ABT.
Show Slide 2 In this tutorial, you will be able to:
  • Edit/Delete organisation details
  • Add/Edit/Delete project
  • Rollover
  • Export/Import organisation

In this tutorial, I am using
  • ABT 1.0
  • Android 4.2 (Jelly Bean)
  • Rooted tablet

Prerequisites

For this tutorial, you must be familiar with:
  • The principles of book keeping.
  • How to run and start ABT
  • How to Create a New Organization

If not, for relevant tutorials please visit http://spoken-tutorial.org

Start ABT Select ABT application on Android 4.2.
Point to ABT's Welcome screen We will see ABT's welcome screen.
Point to Select Existing Organization button

Tap on Select existing organization button.

We have already created an organization called ST.

Point to Login button Let's login as guest
Point to Master Menu We are now on the master menu of ABT .
Point to Preferences Tap on Preferences option.

In Preferences, we can see

  • Edit/Delete organisation and
  • Add/Edit/Delete project options


First, let's edit/delete organisation.

Point to the new screen The organization details page becomes editable.
Point to City Select Maharashtra for State and Mumbai for City.
Point to Save button Save the changes.
Point to Reset button If we want to reset all the fields, tap on Reset button.
Point to Delete button Tap on Delete button to delete the organization.

We can delete organization for a particular financial period.

Tap on OK Tap on OK for confirmation.
When we delete an organization, we are directed back to the welcome screen of ABT.
Point to Add/Edit/Delete project Now let us learn what is Add/Edit/Delete project.


Point to Login

Select organization Free Accounting Foundation.

Login as admin


Point to Preferences

Tap on Preferences

Now, let us select add/edit/delete project



Point to Enter projectname Here we can add project names.

Lets us add ABT and tap on Add Project button.

Here I have already added one project called Spoken-Tutorial



Point to Spoken Tutorial Now, when we tap on the project name, we get 2 options:
    • Edit project name &
    • Delete project


Point to Edit project name Let us try to Edit project name.

Let us change to ST

Point to success message Let us try to Edit project name.

Project name successfully changed to ST



Point to Delete project Likewise, we can delete projects.

But note, if project has transactions, it can not be deleted.



Point to Login

For that go to the welcome screen of ABT.

Let us create an organization called ST of type Profit Making.

For the financial period 1st April 2012 to 31st March 2013

Login as guest


Point to organization details page

Skip organization details page


Point to Rollover

Now, let us see what is Rollover




Point to Create Account

Let us create a sample account.




Point to Rollover

Now, let us tap on Rollover.

It asks whether we want to rollover to next financial year.

Tap on Yes



Point to Rollover

We are directed back to the welcome screen.

With the message that rollover has been done successfully.


Go to Master menu > Rollover.

Point to rollover

Rollover can be done according to following conditions:

  • It will check for financial period.
  • If it has not completed financial period, rollover wont happen.
  • Rollover will be done only once in a financial period.
  • If you tap on it again, it prompt rollover has been done already!!



Point to financial periods

Here in financial year we will see 2 financial year periods:

  • The period for which we created the organization &
  • The period after Rollover

The closing balance of all the,

  • Ledger accounts
  • Groups/Subgroups &
  • User details

are forwarded to new financial period


Now, let us learn what is Import & Export organization.



Point to Login

Let us select Free Accounting Foundation organization.

Login as admin


Go to Master menu > Export organization.

Point to Export organization

Tap on Export organization option

It will ask whether we want to export organization.

Tap on yes.

It will say organization Free Accounting Foundation has been exported to /mnt/sdcard/export/".

We can check the path for the file.

It is the path located in the tablet.

Now, let us learn how to import organization.


Point to main page of ABT

For that go back to the welcome screen of ABT

For import organization, ABT must be installed in the tablet.

We can import organization in any tablet.

It can be done by,

Transferring export folder to internal SD card.



Point to Import organization

Import organization option is available on main page drawer of ABT.

Tap on Import Organization.

It will show all available exported organizations & financial years to be imported.

Import organization option is available on main page drawer of ABT. Select Free Accounting Foundation

Tap on Import




Point to success message

Organization Free Accounting Foundation for the financial year has been imported successfully.

    • Edit/Delete organisation details
    • Add/Edit/Delete project
    • Rollover
    • Export/Import organisation
