  • Koha installed on your system and
  • Admin access in Koha.

If not, refer to the Koha Installation tutorial on this site. Also, you should have knowledge of Library Science.

Please Note- Before closing a Budget, it is advisable to duplicate the immediate previous year's Budget. To do so, the same fund structures of the previous Budget must exist in the new Budget.

Show Koha login interface Let us switch to the Koha interface.
Username as Bella and Password as Library@1.

Click on Log in

To close a budget, we have to login as superlibrarian.

So, I will type the username as Bella and the password as Library@1. For the library field, from the drop down select Spoken Tutorial Library. Now click on the Login button. If you had given a different username and password, then type that.

On the Koha Home page>> Acquisitions module On the Koha home page click on Acquisitions module
Acquisitions page Acquisitions page opens.
On the left side, click on Budgets From the options on the left side, under Administration click on Budgets.
Budgets page Budgets, page opens.
Under the tab Active budgets

Go to Actions>> drop down select Close.

On this page under the tab Active budgets locate the Budget.

In my case, Spoken Tutorial Library 2023-2024 Phase I. In the Actions column click on Actions and from the drop-down select the option Close.

When Close is selected.

Select a budget>>Spoken Tutorial Library 2024-2025 Phase II

On the same page, we have Select a budget option.
  • From the drop-down, select a budget wherein you want to move your unreceived orders
  • I will select Spoken Tutorial Library 2024-2025 Phase II.

The same Fund details need to be created in the Duplicate Budget. This will enable us to move the unspent Budget there.

Cursor on:

Move remaining unspent funds to move the unspent amounts I will leave this box blank

Next is Move remaining unspent funds.

Clicking on this will move the unspent amounts to the new Budget. Do so if you wish to add the unspent amount of the immediate previous year to the new Budget. I will leave this box blank.

Click on the Move unreceived orders button. After all details are filled, click on Move unreceived orders button at the bottom of the page.
Cursor on the dialog box. A dialog box appears with the following message:

You have chosen to move all unreceived orders from Spoken Tutorial Library 2023-2024 Phase I to Spoken Tutorial Library 2024-2025 Phase II. This action cannot be reversed. Do you wish to continue?

Narration only It is important to remember that once completed, you cannot undo this process.
Click on OK Click on OK under the dialog box.

Report after moving unreceived orders from budget Spoken Tutorial Library 2023-2024 Phase I (04/01/2023 - 03/31/2024) to Spoken Tutorial Library 2024-2025 Phase II (04/01/2024 - 03/31/2025)
