Slide 1 Welcome to the spoken tutorial on Maintaining Organizations in Aakash Business Tool i.e. ABT



Slide 2 In this tutorial, we will learn to:
  • Set up a new organization
  • Sign up as a user
  • Fill organization details
  • Select existing organization.

  • ABT 1.0
  • Android 4.2 (JellyBean)
  • Rooted tablet

Open ABT interface Select ABT application on Android 4.2



Point to Welcome page of ABT So, this is the welcome page of Aakash Business Tool .
We will see the application has loaded on the screen.

It automatically checks whether the application is running on Emulator or Tablet.

Tablet option is chosen automatically to run ABT on Android device.



For the Android developers, Emulator is chosen automatically.

It is used to test the application or modify ABT source code.

Point to Change server location Drag the screen from left to right to find Change server location option.

It is located on the left of the screen.

Select Change server location, to switch to Remote server.

Point to Change server location Change server location, prompts a dialog to enter remote server IP address.

It can be within an organization or an institute.



User can access a centralized remote server running within the institute.

The advantage is, each user will have his/her own account on the server.

Point to Prompt Let's enter 192.168.12.10 in the prompt.

Click on OK button.

Point to the 2 options on left We will see 2 more options here on the left of the screen.Import Organization and Help.
Point to Import Organization option We will learn about Import Organization in another tutorial.
Point to Help option Help tells us how to use ABT.
Point to 2 buttons Create new organization and Select existing organization On the first page, we can see 2 buttons at the top,
  • Create new organization and
  • Select existing organization

And here at the bottom you will see a brief information on ABT.

Point to Create new organization button To get started, there should be at least one organization.


  • Let's create a new organization by tapping on Create new organization button.


Point to alert
  • It gives an alert:
    ** If the remote server address is not running ABT-server or ** if the address is incorrect.
  • The alert says that
    ** It cannot connect to remote server and
    ** It is establishing connection to local or default server i.e. tablet or emulator
    requires a live Internet connection.


Point to Create new organization button Again tap on Create new organization button.
Now we can view options like:
  • Enter organization name
  • Select organization type
  • and Set from-date & Set to-date.


Point to Enter organization name
  • In the Enter organization name field, we will type Free Accounting Foundation.

Tap on Done.

Point to Select organization type In select organization type, we have 2 options

NGO and Profit Making.

I will select NGO as my option.

Point to Financial year We can set from-date and to-date in financial year option.


ABT provides 1st April to 31st March as the default financial year.



Change the from-date and to-date Change the from-date and to-date according to organization’s requirements.

Once the from date is set, to date gets automatically updated.

It gets updated by 12 months and minus 1 day.

Point to Next button
  • After filling all the necessary data, lets tap on Next button.


Point to prompt box
  • It says organization Free Accounting Foundation has been created successfully.
  • We can even notice the financial year - from-date and to-date .


Select role Here we have to the select role as admin or guest.

Guest user has a default username guest and password also as guest.

Point to admin If we select admin, a login window appears on the screen, to sign up as an admin user.


Point to registration I will enter username as admin and password as admin.

You can give any username and password of your choice.

Re-type the password.



Point to registration From the security questionnaire drop down,select a question. Enter answer for that question.

This answer will help to login, in case you forget your password.



Point to the gender option. Now select your gender.

Tap on the Done button to complete the registration process.

Point to login After signing up successfully, lets login.

Enter the username as admin and password as admin.

Tap on Done button.

Now tap on Login button.

We have successfully logged in.

Point to next page On the next page, we have to fill organization details.

Fill the organization details if required or Tap Skip button.

Point to State dropdown I shall select Maharashtra from state drop-down.
Point to Save button Organization gets created on pressing either Save or Skip button.

I shall Tap on Save button.



Point to the message It says “Organization Free Accounting Foundation with details saved successfully”.

Tap on OK.

Point to master menu Now we are on the Master menu of ABT.



Point to the bottom left icon To logout, tap on escape at the bottom left of the screen and select Yes .
Point to welcome page We will be directed to the welcome page of ABT.



Point to Select existing organization button Tap on Select existing organization button.

We will see the created organization in the Organization name field.

  • Set up a new organization
  • Sign up as a user
  • Fill organization details
  • Select existing organization.
