To record this tutorial, I am using

  • Ubuntu Linux OS v22.04
  • Koha v24.05
  • Firefox v131.0.3
  • A working internet connection.

Pre-requisites

To follow this tutorial, you should have
  • Koha installed on your system and
  • Admin access in Koha.


If not, refer to the Koha Installation tutorial on this site.

Also, you should have knowledge of Library Science.

Show Koha login interface Let us switch to the Koha interface.
Show this / flash this text

Username as Bella and Password as Library@1.

Click on Log in

To add a new patron, we have to login as superlibrarian.

So, I will type the username as Bella and the password as Library@1.

For the library field, from the drop down select Spoken Tutorial Library.

Now click on the Log in button.

If you had given a different username and password, then type that.

Show Koha staff Interface Koha staff interface opens.
Narration only Now let's add a New patron.
Click on Patrons For that click on the Patrons module.
Highlight Patrons page open This will open the Patrons page.
Click on +New patron

Select Library Staff

Now click on add New patron and from the drop-down select Library Staff.
Add patron (Library Staff) page Add patron, Library Staff, page opens.
Show filled in details.


Cursor on Patron identity:

Salutation: Ms

Surname: S

Name: Vaibhavi

Select Female

Cursor on Contact information:

Primary Email: stlibrary@gmail.com


Show the filled in the details

Now, we will fill in the details under the various sections.


You can fill in the details as shown here.


All the messages and overdue notices are sent to the primary email.

For now I will skip the Alternate address and Alternate contact sections.

Cursor on Library management:

Cursor on Card Number- 2

Scroll down to the Library management section.


Recall that we have already assigned card no. 1 to the Superlibrarian.


So in the Card Number field we will enter 2.

Cursor on Library

From the drop-down, select, Spoken Tutorial Library

Next is the Library field.

From the drop-down, select Spoken Tutorial Library, if it is not already selected.

Cursor on Category Select, Library Staff from the drop-down For Category field, from the drop-down, select Library Staff, if it is not already selected.
Cursor on Allow auto-renewal of items For Allow auto-renewal of items field, select No.


This will allow timely returns, ensure fair access, and manage circulation better.

Cursor on Protected field Select Yes for the Protected field.


This helps us to secure patron information and keep it private.

Cursor on Library setup:

Registration Date as 12/02/2024 and Expiry Date as

12/01/2025.

Under the section Library setup fill in the mandatory details as shown here.

Enter:

Username: Vaibhavi

Password: Vaibhavi02

Confirm password: Vaibhavi02

Next let me scroll down to the OPAC/Staff interface login section.


We will fill in the login credentials for Ms. Vaibhavi S here.


Enter the Username as Vaibhavi and the Password as Vaibhavi02.


In the Confirm Password field, enter the same password again, that is Vaibhavi02.

Cursor at section Patron restrictions Next is the Patron restrictions section.


Here we can add specific rules or limitations to a patron's account.


I will leave it blank.

Cursor at section Additional attributes and identifiersshow barcode on the summary screen items listing Next section is Additional attributes and identifiers.


Here, click on the field, Show barcode on the summary screen items listings.


From the drop down select Yes.


This allows quick identification and item verification in a patron's account.

For Patron messaging preferences.

We will mark all the checkboxes under the email column as shown here.

Advance notice - Days in advance For Advance notice, under Days in advance, select 3 days.
Click on Save To complete, click on the Save button at the top of the page.
Cursor on Ms. Vaibhavi S. This will bring us back to the Patron details page for Ms. Vaibhavi S. with card number 2.
Cursor on More Click on Set Permissions I will now set the permissions for this patron.

Go to the tabs above the patron’s Name Ms.Vaibhavi S with card number 2.

Click on More and from the dropdown select Set Permissions.

Highlight Set permissions for Ms Vaibhavi S. (2) A page with the title Set permissions for Ms Vaibhavi S. with card number 2 opens.


Here we can see the list of all the permissions.


To assign the permissions, I will check all the relevant checkboxes.

Click on the checkbox for Check out and check in items (circulate) Click on the checkbox for Check out and check in items (circulate) permissions.


These permissions enable patrons to borrow and return library items in Koha.

Click on the check box for Staff access, allows viewing of catalogue in staff interface (catalogue) Required for staff login. Scroll Down.

Next is the Staff access, allows viewing of catalogue in staff interface permissions.


I will click on its checkbox to give the permission.


It allows the patron to log into Koha with cataloging task permissions.


Note: This field is Required for staff login.

Click on Add, modify and view patron information (borrowers) Also assign permission for Add, modify and view patron information (borrowers).


It allows the user to manage patron records.

Click on the Place and modify holds for patrons(reserveforothers) Check the Place and modify holds for patrons to give permissions.


They enable the user to manage item hold requests on behalf of the patrons.

Cursor on Edit catalog (Modify bibliographic/holdings data). Next, give permission for Edit catalog.


It allows the user to update the bibliographic and holding data for items.

Cursor on Acquisition management(acquisition) Next give permissions for Acquisition management.

It allows managing library orders, invoices, and procurement efficiently.

Cursor on Suggestion management(suggestions) Also assign permissions for Suggestion management.

It allows managing user suggestions for new library acquisitions.

Cursor on Use all tools click on the plus sign Next, scroll down to set the permissions under, Use all tools.


I will assign the permission by checking in the check boxes as shown here.

Cursor on Allow access to the reports module (reports)

Click on the plus sign.

Select Execute SQL reports (execute _reports)

Next, comes the permissions for Allow access to the reports module.

To see the specific permissions here, click on show details.

Check the permission Execute SQL reports.

We will leave all the other fields as it is.

Click on Save. Let us finish by clicking on Save at the top of the page.

This will bring us to the patron, Ms. Vaibhavi S. with card number 2 page.

Cursor on Ms. Vaibhavi S. With this we have successfully created a Patron as Library Staff.
Modify patron details Now, let's learn to modify patron details for the Patron Ms. Vaibhavi S.


Cursor on Patron Vaibhavi S. (2) Go to the options above the patron name and click the Edit.

Highlight Library setup


Expiry date: 12/01/2026

Modify patron Miss Vaibhavi S. page opens.


Here, we will modify the Expiry date.

For that scroll down to Library setup section and change the date as shown here.

Click on Save.

Ms. Vaibhavi S.(2) page. This will bring us back to the page with the details for Ms. Vaibhavi S .
