To practice this tutorial, you should have Koha installed on your system.

Let us begin by learning how to add a Patron category. | |
Log into Koha using the username and password | Log into Koha using your database administrator username and password. |
Click on Koha Administration | Click on Koha Administration. |
Cursor on Patrons and circulation
Click on Patron categories |
Under Patrons and circulation, click on Patron categories. |
Cursor on Patron categories | A new page Patron categories opens. |
Click on +New Category | Click on +New Category. |

A new page New category opens up prompting us to fill in some details. |
Narration only | As mentioned before, note that the fields marked in red are mandatory. |
Details filled are as follows-
Category code as LS Description as Library Staff In months: 50 Enter Age as 35

I have filled out a few details here. Please do so likewise. |
Cursor on Category type: >> From the drop-down select Staff | For Category type: from the drop-down list, select Staff. |
Cursor on Branches limitation: >> Select All Branches. | For Branches limitation: select All Branches. |
Click on Save | Next, click on Save at the bottom of the page. |
Cursor on Library Staff | The category name that we entered appears on the page Patron categories.

Narration only | With this a Patron Category has been created. |
Narration only | Next, we will learn how to add a Patron. |
Click on Home at the top left corner | Click on Home at the top left corner. |
Cursor on dialog box | The Koha homepage opens with a dialog box prompting us to create a Patron. |

Click on +Create Patron. | As prompted in the dialog box, click on +Create Patron.
Alternately, you may click on Patrons on the Koha home page. |
Click on Create Patron | I will click on Create Patron. |
A new page opens | A new page opens. |
Click on the tab +New Patron >> Select Library staff | Click on the tab +New Patron.
From the drop-down, I will select Library Staff. |
Cursor on Add patron (Library Staff) | A new page- Add patron (Library Staff), opens up. |
Show filled in details.
Cursor on Patron identity Cursor on Main address Cursor on Contact |
Now, fill in the details required under the various sections like:
Patron identity Main address Contact etc. |
Show the filled in the details | I have filled out few details as shown here.
If you don’t have information for any field listed here, then just leave it blank. |
Pause the video and fill in all details and then resume the video. | |

Cursor on Card Number- 1 |
Under the section Library management:, locate the field Card Number:
Note that- the number 1 is auto-generated by Koha. Hence, you will see a different number on your Koha interface. |

From the drop down, select, Spoken Tutorial Library |
Next is Library.

Recall: the Spoken Tutorial Library was created earlier in this series.

Cursor on Category >> Select, Library Staff from the drop-down | For Category, I will select Library Staff from the drop-down. |
Cursor at section OPAC/Staff login
Type Username as Bella >> Password as library |
Under the section OPAC/Staff login, enter Username and Password.

Enter
Confirm password: library123 |
Again, enter the same password in Confirm password: field. |
Slide Important note-

Remember this username and password.
This will be used a little later to give rights/permissions to a Staff. |
Go to the top of the page >> Click on Save | After filling in all the details, go to the top of the page and click on Save. |
Cursor on Ms Bella Tony (1) | A new page with the name of the Patron and card number opens.

To edit the sections, click on the Edit tab, located at the bottom of the respective sections. |
Narration only | Now let us learn how to give permissions to the Patrons. |
Cursor on More >> >> Click on Set Permissions | On the same page, locate the tab More and click on Set Permissions. |
New page | A new page with the title Set permissions for Bella Tony, opens up. |
Click in the checkbox:
(superlibrarian) Access to all librarian functions |
Click on the checkbox for (superlibrarian) Access to all librarian functions. |
Click Save | Then click on Save at the bottom of the page |

Now, Superlibrarian Ms Bella Tony, having access to all library functions, has been created. |

How to give access to a Staff for a particular module? | Let’s now learn how to give access to a Staff for a particular module. |
Click No_Library_Set >> Logout | Logout from your current session as a Database administrative user.

Login with Username Bella >> Password library | Now, login with the Superlibrarian account. |

A Superlibrarian can give rights/permissions to another Staff for accessing any other module. For example-

For example-

Click on the tab New Patron >> From the drop-down select Library Staff >> Select Salutation as Ms. >> Enter the Surname as Samruddhi | As explained earlier create a patron.

For Category: Select Library Staff from the drop-down. | For Category, select Library Staff from the drop-down.
Do not select any other option. |
Cursor on OPAC/Staff login
Type Username as Samrudhi >> Password as patron |
Under the section OPAC/Staff login,
|
Cursor on Confirm password | Again, enter the same Password in the Confirm password field. |
Narration only | Remember this username and password as this will be used for further login as a staff. |
Click Save | After filling in all the details, click on Save at the top of the page. |
Narration only | Now give permissions to this particular Patron. |
Click on More >> Set a Permissions. | Go to the tab More and click on Set Permissions. |
New page | A new page opens with the title Set permissions for Samruddhi.
This is the name of the Patron we created. |
Click on the checkbox for (circulate) Check out and check in items. | Click on the checkbox for (circulate) Check out and check in items. |
Click on the check box for (catalogue) Required for staff login. | Next, click on the check box for (catalogue) Required for staff login. |
Click on:
(borrowers) Add, modify and view patron information |
Also, click on:
(borrowers) Add, modify and view patron information |
Click on plus sign >> click on: (reserveforothers) Place and modify holds for patrons | Next click on the plus sign here. Click on:
(reserveforothers) Place and modify holds for patrons |
Go to the tab editcatalogue >> click on plus sign >> click on (editcatalogue) Edit catalog (Modify bibliographic/holdings data. | Next, come to the tab edit catalogue.

Go to the tab' acquisition >> click on plus sign >> click on (acquisition) Acquisition and/or suggestion management | Next, come to the tab acquisition.

Go to the tab tools. | Next, for the tab tools. |
Click on the plus sign >> Select (batch_upload_patron_images) Upload patron images in a batch or one at time | Click on the plus sign here.

Select
(edit_patrons) Perform batch modification of patrons |
Next, click on
(edit_patrons) Perform batch modification of patrons. |
Select (import_patrons) Import patron data | Also select
(import_patrons) Import patron data. |
Select (editauthorities) | Next also click on
edit authorities. |
Point to tab
(reports) Allow access to the reports module |
Next, come to the tab
(reports) Allow access to the reports module. |
Click on the plus sign >> Select (execute _reports) Execute SQL reports | Click on the plus sign and select (execute _reports) Execute SQL reports |
Click on Save. | Then click on Save at the bottom of the page. |
Cursor on Ms. Samruddhi. | With this, we have given all required rights to a Library Staff with the name Ms. Samruddhi. |
Click LSpoken Tutorial Library >> Logout. | Now logout from the superlibrarian account.
To do so, go to the top right corner. Click on Spoken Tutorial Library. From the drop down click on Log out |
