00:01 Welcome to the Spoken Tutorial on Circulation.
00:05 In this tutorial, we will learn about- Circulation and Fine Rules for the Patron category,
00:13 Check Out (Issuing),
00:15 Renewing and Check In (Returning).
00:20 To record this tutorial, I am using

Ubuntu Linux OS 16.04

00:28 and Koha version 16.05.
00:32 To follow this tutorial, learners should be familiar with Library Science.
00:38 To practice this tutorial, you should have Koha installed on your system.
00:44 And, you should also have Admin access in Koha.
00:48 If not, please refer to the Koha Spoken Tutorial series on this website.
00:54 First of all, we will start by defining Circulation and Fine Rules for Patron category.
01:02 Create a Patron Category as Post Graduate student under the Spoken Tutorial Library.
01:10 Recall, all the above has been explained in an earlier tutorial in this series.
01:16 We will be using this information later in this tutorial.
01:21 Your Koha interface will look like this after adding the Patron Category as -

Post Graduate student under the Spoken Tutorial Library.

01:32 Login with Superlibrarian Username Bella and her password.
01:39 Go to Koha Administration.
01:43 Under the section Patrons and circulation, click on Circulation and fines rules.
01:52 Defining circulation and fine rules for all libraries opens.
01:57 Locate Select Library and from the drop-down select Spoken Tutorial Library.
02:05 A new page opens with the title Defining circulation and fine rules for "Spoken Tutorial Library".
02:14 Under the section- Patron category, from the drop-down, click on Post Graduate Student.
02:22 Under the section Item type, from the drop-down click on Book.
02:28 In the field- Current checkouts allowed enter 5.
02:33 I will leave Current on-site checkouts allowed as blank.
02:39 Enter 15 for Loan period.
02:43 I will leave For Unit, as it is i.e. Days.
02:48 Leave Hard due date, as it is.
02:53 Enter Fine amount 5 and Enter 1 for Fine charging interval.
03:01 I will leave When to charge as it is.
03:05 I will leave Fine grace period: blank.
03:09 I will leave Overdue fines cap (amount): and Cap fine at replacement price: blank.
03:17 I will also leave Suspension in days (day) : blank.
03:22 Maximum suspension duration (day): as blank.
03:28 Enter 10 for Renewals allowed (count).
03:33 I will leave Renewal period and No renewal before: blank.
03:39 For Automatic renewal, I will leave as it is.
03:44 For Holds allowed (count) enter 5.
03:48 For On shelf holds allowed- from the drop- down, select If all unavailable.
03:55 I will leave Item level holds as it is.
04:00 Leave Rental discount as blank.
04:04 Next, go to the section Actions, at the extreme right corner of the table and click on Save.
04:13 Same page Defining circulation and fine rules for "Spoken Tutorial Library", opens again.
04:21 This page contains all the entries that we just filled.
04:28 Next to the heading Select the library: , locate Clone these rules to:
04:35 From the drop-down select Spoken Tutorial Library.
04:40 Next, click on the button named as Clone.
04:45 A new page with the heading- Cloning circulation and fine rules from “Spoken Tutorial Library” to “Spoken Tutorial Library” will open.
04:56 A message box appears saying “The rules have been cloned”.
05:02 Now, create a Patron Ms. Reena Shah, as Post-Graduate student

for checkout and checkin of Spoken Tutorial Library Items such as- Books, CD/DVDs , Bound Volumes etc.

05:20 Recall, in an earlier tutorial while creating Patron, we have Set permissions for the staff.
05:29 However, here do not set any permission for the Patron i.e student Ms. Reena Shah.
05:38 Simply enter the required details and click on Save at the top of the page.
05:45 Now, logout from the Superlibrarian account.
05:49 Do so by clicking on Spoken Tutorial Library at the top right corner.
05:56 From the drop- down click on Log out.
06:01 Then, login again as Library Staff, Samruddhi.
06:07 Next, on the Home page, click on Circulation.
06:12 Let us begin with Checkout.
06:15 On the Circulation page, click on Check-out i.e. the issuing process.
06:22 On the page that opens, locate the field for Enter patron card number or partial name.

I will enter the name as Reena.

06:34 Click Submit button on the right side of the same search field.
06:39 A new page opens up. In the field for: Checking out to Reena Shah (3) Enter item Barcode:,
06:48 I will enter the value- 00001
06:53 Recall, this Barcode as accession number was mentioned in one of the earlier tutorials.
07:00 Hence, the same value will be entered for Check-out.
07:05 Now, click on Check-out at the bottom of the field.
07:10 Next, to see the Check-out details, click on Show check-outs at the bottom of the page.
07:18 On the same page, a table appears with all the details of the Checked-out item.
07:24 Details such as: Due date, Title, Item type, Location, Checked out on, Checked out from, Call number, Charge, Fine, Price, Renew , and Check in.
07:43 In case, an item has to be renewed or checked in then click on the tab Renew or check in selected items, located at the bottom of the table.
07:56 If there are more than one item then click on the tab Renew all, located adjacent to the tab- Renew or check in selected items, at the bottom of the page.
08:10 I will not click on any of the tabs as I will show how to renew items and check in using the tab Circulation on the Koha homepage.
08:22 On the same page, click on Circulation at the top left corner.
08:28 On the new page that opens, under Circulation, click on Renew.
08:35 A new page opens.

In the field for Enter item barcode, I will enter Barcode as accession number 00001.

08:48 Then click on Submit at the right side of the field.
08:53 A new page opens with a dialog box Item Renewed.
08:58 Next, on the same page, click on Circulation at the top left corner.
09:05 On the new page that opens, under Circulation, click on check in.
09:11 In the new page that opens, locate the field Enter item barcode .
09:17 I will enter Barcode as accession number 00001 with which the item was checked out earlier.
09:27 And, click on Submit at the right side of the field.
09:32 A table appears having details such as- Due date, Title , Author , Barcode, Home Library, Holding library, Shelving location, Call number, Type, Patron and Note.
09:52 Note the Title-Industrial Microbiology,
09:57 Barcode- 00001 and Patron-Shah, Reena (PG) as per the details filled in earlier.
10:09 With this, we complete Circulation.
10:13 Now, log out from the Library staff account.
10:17 To do so, first go to the top right corner, click on Spoken Tutorial Library.
10:25 Then, from the drop-down, select Log out.
10:31 Let us summarize.

In this tutorial, we learnt about: Circulation and Fine Rules for the Patron category,

10:41 Check Out (Issuing), Renewing, Check In (Returning).
10:48 For Assignment: Issue another book to the Patron Ms. Reena Shah.
