00:07 In this tutorial, we will learn how to catalog Serial subscriptions.
00:14 To record this tutorial, I am using:

Ubuntu Linux Operating System 16.04 and

Koha version 16.05

00:27 To follow this tutorial, you should have knowledge of Library Science.
00:33 To practice this tutorial, you should have: Koha installed on your system.

And, you should also have Admin access in Koha.

00:50 Before we begin, let us understand- What are Serials module?

Journals,

01:03 Magazines and Periodicals that are published periodically.
01:10 In this demo, I am going to catalog a serial publication -

with the title- Indian Journal of Microbiology,

01:19 Volume-57,

Number- 1,

Quarterly publication for the month of- Jan to March 2017

01:30 To do so, login with the Superlibrarian username and password.
01:36 On the Homepage, click on Cataloging.
01:41 Then click on +New record.

From the drop-down, select Serials.

01:49 A new page Add MARC record opens.
01:54 Let us proceed to fill in the details below.
01:58 Notice that there are a few mandatory fields on this page.
02:03 Interestingly, Koha auto-generates values for a few mandatory fields.
02:09 Among the range of tabs from 0 to 9, we will start with tab zero.
02:16 Click inside the field for 000, LEADER. By default, Koha shows this value.
02:26 Next, click inside the field for 005 DATE AND TIME OF LATEST TRANSACTION.
02:35 Koha auto generates this value for my machine.
02:40 You will see a different value on your interface.
02:44 I will skip the fields for 006 and 007.
02:50 When 008 FIXED-LENGTH DATA ELEMENTS--GENERAL INFORMATION is clicked,

03:01 Next, go to the tab 022 ISSN.
03:06 Locate the two blank boxes adjacent to 022 question mark.
03:12 Note that when you click on the ? (question mark) then the entire MARC 21 Bibliographic format for the respective tag 022 opens up.

03:28 Now, let us go back to the Koha interface.
03:32 So, I will skip the two blank boxes.
03:36 Next, locate the sub-field ‘a’ International Standard Serial Number.
03:43 Enter an 8 digit Journal ISSN.
03:49 However, you have to add the ISSN of the Journal that you have chosen to catalog.
03:55 I will skip the rest of the fields.
03:57 You may consider filling these fields as per the requirement of your library.
04:04 Next, go to the tab 040 CATALOGING SOURCE.

Locate the two blank boxes adjacent to 040 ?.

04:14 Here, both the indicators are undefined.
04:18 So, I will leave the two blank boxes as they are.
04:23 Go to sub-field c, Transcribing agency.
04:28 Type the name of the Institute/University or the Department here.
04:34 I will type IIT Bombay.


04:37 Now come to the tab 082 DEWEY DECIMAL CLASSIFICATION NUMBER.
04:44 In the sub-field ‘a’, Classification number enter 660.62
04:52 Next, go to the top again and among the tabs from 0 to 9, click on the tab 2.
05:01 Then go to the tab 245 TITLE STATEMENT:.
05:07 Locate the two blank boxes adjacent to 245 ?.

As mentioned earlier, when you click on the ? (question mark),

05:17 the entire MARC 21 Bibliographic format for the respective tag opens up.
05:24 Let us again go back to the Koha interface.
05:28 Now, type 0 in the first blank box. Note that 0 is the indicator for No added Entry.
05:37 Type 0 in the 2nd blank box also.
05:41 2nd indicator represents a non-filling character.
05:46 I have entered 0 because under this TITLE: there is no non-filling character.
05:54 In the sub-field ‘a’, Title , type: Indian Journal of Microbiology.
06:01 You can type the title of your Journal here.
06:05 Now, go to 260 PUBLICATION, DISTRIBUTION, ETC.
06:11 Locate the two blank boxes adjacent to 260?.
06:17 Both the indicators for this are undefined. So, I will leave the two blank boxes as they are.
06:26 Now, I will fill the details for my book. You can type the details pertaining to your book.
06:34 In the sub-field ‘a’ Place of publication, distribution, etc., enter New Delhi.
06:42 In the sub-field ‘b’ Name of publisher, distributor, etc., enter Springer.
06:50 In the sub-field ‘c’ Date of publication, distribution, etc., enter 2017.
07:00 Now, go back to the top again and from the tabs 0 to 9, click on tab 3.
07:07 Now, go to 300 PHYSICAL DESCRIPTION.
07:12 Locate the two blank boxes adjacent to 300 ?.
07:19 Both the indicators for this are undefined. So, I will leave the two blank boxes as they are.
07:27 In the sub-field ‘a’ Extent, I will type 11 v.
07:33 Note that I am subscribing this journal from 11 v onward.
07:39 So, you will have to enter as per your journal.
07:43 Now, go to 310 CURRENT PUBLICATION FREQUENCY.
07:49 Locate the two blank boxes adjacent to 310?.
07:55 Both the indicators for this are undefined. So, I will leave the two blank boxes as they are.
08:03 Click on CURRENT PUBLICATION FREQUENCY to expand the tag so that we can fill in the sub-fields.
08:12 In the sub-field ‘a’ Current publication frequency, I will type Quarterly.
08:22 This is because my journal is a quarterly Serial.
08:27 If yours is different, for eg: monthly, bi-monthly etc. then fill accordingly.
08:34 Next, go back to the top again and from the tabs 0 to 9, click on the tab 6.
08:41 Locate the field 650 SUBJECT ADDED ENTRY--TOPICAL TERM.
08:47 Locate the two blank boxes adjacent to 650 ?.

Type 1 in the first blank box.

08:55 Note that 1 is the indicator for Primary (Level of subject).
09:00 Type 0 in the second blank box.
09:04 Note that 0 is the indicator for Library of Congress Subject Headings (Thesaurus).
09:11 Next comes the sub-field ‘a’ Topical term or geographic name as entry element.
09:19 Here, I will type subject heading as Microbiology.
09:24 You have to type a relevant subject heading for your Book or Serial.
09:31 In case more than one keyword has to be added, then as explained in an earlier tutorial, click on the small button: Repeat this Tag.
09:42 Duplicate of the tab 650 appears.
09:47 Go back to the top again and from the tabs 0 to 9, click on the tab 7.
09:54 On the new page that opens, go to the tab 700 ADDED ENTRY--PERSONAL NAME.
10:03 Locate the two blank boxes adjacent to 700 ?.

Type 1 in the first blank box.

10:13 Note that 1 is the indicator for Surname.
10:18 2nd indicator is undefined by MARC 21. So, I will leave it blank.
10:26 Click on ADDED ENTRY--PERSONAL NAME to expand the tag so that we can fill in the sub-fields.
10:35 In the sub-field ‘a' Personal name, enter the editor’s name.
10:41 You have to type your book or Serial editor’s name.
10:47 Remember to write the surname first followed by comma and then first name.
10:54 Lastly, from the tabs 0 to 9, click on the tab 9.
11:00 Go to 942 ADDED ENTRY ELEMENTS (KOHA).
11:06 Go to the sub-field ‘c’: Koha item type, and from the drop-down select Serial.
11:15 After filling in all the details click on Save at the left corner of the page.
11:22 A new page opens with the title I gave.
11:26 On my interface, it says Items for Indian Journal of Microbiology.
11:33 Next, for Add item,

We are prompted to fill details like- Date acquired, Source of acquisition,

11:45 Cost, normal purchase price, Barcode, Cost, replacement price etc.
11:54 I have filled in a few details as per my Library.
11:58 You may pause the video and fill the details as per your Library.
12:04 Click inside the field for Date acquired to auto-select the date. However, note that the date is editable.
12:15 If you do not have information for a particular field, then leave it blank.
12:21 Remember that by default. Koha fills in the details for- Permanent location,
12:29 Current location, Full call number and Koha item type.
12:37 Additionally, you may click on the buttons- Add & Duplicate,
12:43 Add multiple copies of this item at the bottom of the page.
12:49 After entering all the details, click on the tab Add item at the bottom of the page.
12:56 Another page opens with the entered details of the Journal:

Items for Indian Journal of Microbiology.

13:05 With this we have cataloged the record for Journal titled- Indian Journal of Microbiology by Kalia, V.C.
13:15 for Biology section of the library with appropriate details.
13:20 You may now log out from Koha.
13:23 Go to the top right corner of the Koha interface.
13:28 Click on Spoken Tutorial Library and select logout from the drop-down.
