To record this tutorial, I am using
  • Ubuntu Linux OS 16.04
  • Koha version 16.05

To follow this tutorial, you should have knowledge of Library Science.

To practice this tutorial, you should have Koha installed on your system.


You should also have Admin access in Koha.


If not, please refer to the Koha spoken tutorial series on this website.

Show Koha interface Let us begin.

Let me switch to the Koha interface.

Narration only Recall that we had created a Superlibrarian Bella.
Login with username and password We will now login with username Bella and her password.
Show interface Now we are inside the Koha interface as Superlibrarian Bella
Narration only Before we move ahead, let’s first understand what are Item Types.

Item types typically refer to the material in the library-

  • Books,
  • Journals,
  • CDs/DVDs, etc.

SLIDE Every Item type in Koha has a Collection code assigned to it.

This code uniquely identifies that Item type.

Let us learn to add a new item type.
Home >> Koha Administration On the Koha Home page, click on Koha Administration.
Cursor on Basic parameters

Click on 'Item Type'

Go to the section Basic parameters and click on Item Types.
Click the '+ New Item Type at the top of the Item types administration page. Click the ' New Item Type' button at the top of the Item types administration page.
Red box highlight on Item type In the Item type field, enter a code for the new item type that you want to add.
Type REF I will type REF
Red box highlight on Description field The Description field is the description of the item type.
Type Reference So here, I will type Reference.
I will skip Search category field.
Cursor on Choose an icon: Next is Choose an icon:
Click on the tab bridge

Click on the icon- BOOK

Click on the tab bridge
Narration only Here, from the below given options, click on the icon be associated with the item type.
Select Reference icon I will select this Reference icon.
Point to Hide in OPAC: option Next, we will learn how Hide in OPAC: helps.

Let’s say a book is-

  • damaged and/or
  • has to be kept back for binding purpose

Hide in OPAC will make the book invisible to the users.

In such cases, the option Hide in OPAC, will make the book invisible to all the users.
Point to Hide in OPAC: As per your requirement, check or uncheck the checkbox for Hide in OPAC:


I will leave the checkbox blank.

Point to 'Not for loan’ Use the 'Not for loan' option for items which are kept in the library but not circulated.

For e.g

  • Reference books
  • Rare books
  • Dictionary
Point to Not for loan I will leave this checkbox blank.
Point to Rental charge field You may enter an amount to be charged in the Rental charge field, if you wish to.

Particular items in the library may have to be charged a minimum rental fee.

Point to 'Rental charge' field I will not enter any fee, as rental fee is not required to be charged on most items.

If you wish to enter a fee, then remember to enter a valid number only.

Point to Checkin message: Next is the Checkin message: text field.
Point to Checkin message: Checkin message depends on the type of the particular item.

The options could be-

  • Book
  • Serial,
  • CDs/DVDs
  • Bound Volume
  • Microfilm etc
Type- Bound Volume In the field Checkin message:, I will type Bound Volume.
Point to Checkin message type: This is followed by Checkin message type:
Point to Checkin message type: Depending upon the item type, select a message or an alert for the item.

Remember as per the selected option a messsage or an alert will be displayed when check-ins are done for this particular item.

Select message from the drop down. I will select- message.
Cursor on SIP media type Next is SIP media type

SIP media type applies only if a sorter or a locker facility is being used in your library.


So here I’am skipping SIP media type.

Point to Summary field. In the Summary field, write a summary of the respective item , if you want to.
Type-

Item type- Reference

Facilitate- Self check out/return

I will type-

Item type- Reference

Facilitate- Self check out/return

Click on Save changes button. Lastly, click on Save changes button.
Cursor on Item types administration A new page Item types administration opens up.
Run the cursor through-

Code, Description, Not for loan, Hide in OPAC, Charge, Chekin message

All the details that were filled for the new item type
  • appear in a tabular form
  • on the page Item types administration

Some important things to note are-

  • Collection codes assigned to item types cannot be edited.
  • Description of the item type can be edited.
  • Once an item type is used by items in the library, it cannot be deleted.
